The Snaith School is seeking to appoint an organised, proactive and compassionate Pastoral Administrator to join our dedicated admin team. This is a rewarding opportunity for an experienced administrator who enjoys working in a busy school environment and is committed to supporting the wellbeing and success of young people.
 
As the first point of contact for many pastoral matters, you will provide high-quality administrative support to the pastoral team, ensuring the smooth day-to-day operation of student services while delivering an excellent level of customer service to pupils, parents, staff and external agencies.
 
About the Role
Working closely with the pastoral and attendance team, you will play a vital role in supporting pupil welfare and ensuring that pastoral systems operate efficiently. You will manage a wide range of administrative responsibilities, maintain accurate and confidential records, and contribute to creating a positive and supportive environment for all pupils.
 
Key responsibilities include:
  • Providing comprehensive administrative support to the pastoral team, including preparing correspondence, letters and communications to parents and carers.
  • Extracting, collating and distributing attendance, behaviour and pastoral data from the school's Management Information System (MIS).
  • Help coordinating pupil attendance at appointments, ensuring safeguarding procedures are followed at all times.
  • Responding professionally to enquiries from parents, pupils, staff and external agencies via telephone, email and in person.
  • Preparing pupil lists for detentions, educational visits, sporting fixtures and other pastoral activities.
  • Supporting celebration and reward events by producing certificates, letters and other documentation.
  • Maintaining relevant areas of the school website.
  • Managing pre-loved uniform, borrowed uniform and lost property.
  • Providing administrative support for pastoral meetings, including arranging appointments and maintaining accurate records.
  • Ensuring confidential records are maintained in line with statutory requirements and school policies.
  • Delivering a welcoming and professional service to all visitors and stakeholders.
  • Undertaking Emergency First Aid at Work training and providing first aid assistance where appropriate.
  • Supporting the wider administration team with additional duties as required.
About You
 
We are looking for someone who:
  • Has excellent administrative and organisational skills with strong attention to detail.
  • Is confident using Microsoft Office applications and Management Information Systems (or is able to learn new systems quickly).
  • Has excellent written and verbal communication skills.
  • Can prioritise a varied workload and remain calm under pressure.
  • Understands the importance of confidentiality and handling sensitive information appropriately.
  • Enjoys working as part of a team while also being able to work independently.
  • Has a friendly, approachable manner and is committed to providing excellent customer service.
  • Shares our commitment to safeguarding and promoting the welfare of children and young people.
Previous experience of working in a school or educational setting would be advantageous but is not essential.
